Shops with stock, invoices and VAT ahead

You buy stock, you may pay a helper, and you are VAT registered or close to it. Xero is cloud accounting with bank feeds and invoicing, and it has reports your accountant can read.

Xero suits you once you keep stock records. With a few sales a month and no stock records, you would pay for features you would not use.

If you buy stock in bulk, such as job lots or wholesale cases, you need to see margin per line as well as total sales.

Bank feeds, receipts and MTD recognition

Xero imports transactions from your business account, and you match each one to a sale, a fee or a purchase. Receipt capture lets you photograph a stock receipt and attach it to the cost.

HMRC recognises Xero for Making Tax Digital for VAT, and for Income Tax on plans that support it. Plans differ in what they include, so compare them on Xero's UK site.

Categories and a weekly reconcile

Connect your business bank account and your PayPal or marketplace payout accounts so payouts and fees come in automatically. Set up categories for stock, postage, packaging and platform fees.

Spend ten minutes a week reconciling. Photograph receipts for mailers, labels and stock as you buy them so you have every one by the tax deadline.

Give your accountant read access to your Xero file before year end. They can review your categories during the year, which cuts the time they spend on your final accounts.

QuickBooks, Sage or FreeAgent

QuickBooks covers similar ground for sole traders and small companies; pick it if your accountant prefers it.

Sage has a free plan for non-VAT-registered sole traders, and FreeAgent is free with some NatWest Group business accounts. With a few sales a month, choose one of those over Xero.

For a limited company, Xero and QuickBooks handle company accounts more fully than the free sole trader plans do.

Making Tax Digital for Income Tax

HMRC's Making Tax Digital for Income Tax started in April 2026 for sole traders and landlords with qualifying income over £50,000, dropping to £30,000 from April 2027 and £20,000 from April 2028. The HMRC guidance on gov.uk sets out your own position.

If you will cross a threshold, start keeping digital records in compatible software early, so the first quarterly update is routine.

Common mistakes

Each one costs you money or reviews, and each has a fix.

  • Open a separate business account. Personal and business spending in one account makes reconciling slow.
  • A payout recorded as income without its fees understates your costs; record the gross sale and the fee separately.
  • Reconcile weekly. Left to year end, the backlog takes far longer than ten minutes a week.
  • Some plans block VAT or extra users, so compare plan limits before you choose.
