How to lay it out

Where everything goes, so each order moves one way through the room.

    Making bench under the window

    Keep tools, materials and work in progress on the side of the room with the best daylight. Pack nothing from this bench until it is finished and cured.

    Light box on the shelf at eye height

    Leave the light box set up on the middle shelf with the phone clamp beside it. You can put a finished piece in, take four photos and take it out in under two minutes.

    Wrapping table by the door

    The folding table holds boxes, mailers, tissue, stickers and the scale in the order you use them, left to right. Keep a printed packing slip pile at the far end.

    Finished stock on labelled shelves

    Give each design its own shelf section with the listing name on a tag. Made-to-order pieces waiting for dispatch sit on the top shelf with the order number on a sticky note.

Splitting the week between making and posting

Pick two dispatch days, say Tuesday and Friday, and put them in your Etsy processing times. Orders in between wait on the dispatch shelf while you make.

On a dispatch day, print every label first, then wrap in one run from the left end of the table to the right. Twenty orders take about an hour once the order of jobs is fixed.

The light box routine

Shoot every new piece the day you finish it, before it goes on the stock shelf. Use the same distance and angle for the first photo on every listing so the shop grid looks like one collection.

Light boxes flatten texture. For glazes, wood grain and knits, take a close-up with the light coming from one side, and add one photo of the piece in use, such as a candle lit on a shelf or a print framed on a wall.

An unboxing that matches the listing

Fold the piece into tissue, seal it with a sticker and add your card on top so it is the first thing the buyer sees. Choose a paper bag for soft items and flat prints, and a box for anything that can crack or bend.

Keep the look consistent: one tissue colour, one sticker, one card design. Repeat buyers then recognise your parcel before they open it.

Stock and made-to-order pieces

Ready-made stock sits on the shelf by design, with a count on the tag that you change when one sells. Made-to-order work gets a sticky note with the order number and dispatch date the moment you start it.

Check the Etsy stock count against the shelf once a month. A listing that says three when the shelf holds two leads to a cancelled order and a worse star rating.

Growing past 40 orders

The making bench becomes the bottleneck long before packing does. Batch-make your best sellers and keep five to ten of each on the shelf, so a busy week does not stall on firing or curing times.

Once custom packaging arrives, give it its own shelf. Printed tissue and boxes ordered in bulk take up more room than you expect.

Common mistakes

Each one costs you money or reviews, and each has a fix.

  • Packing at the making bench, so glitter, wax or clay dust ends up inside a buyer’s parcel.
  • Shooting the first photo on a different background for each listing, which makes the shop look like a car boot sale.
  • Sending a mug in a padded envelope with one layer of bubble wrap and paying for a replacement when it arrives in pieces.
  • Setting a one-day processing time while you still make to order, then marking orders as dispatched late.
  • Letting the Etsy stock count drift from the shelf and cancelling an order for a piece you sold at a market.

When to upgrade

At about 20 orders a week, a small thermal printer saves cutting and taping A4 labels. Past 30, printed tissue or mailers with your logo make repeat buyers recognise the parcel. Around 35, two softboxes let you shoot lifestyle photos outside the light box.

Questions

Do I need a light box for Etsy photos?

Your first photo works best on a clean, even background, and a light box gives you that at night and on grey days. Add styled lifestyle shots in natural light for the other photos.

Can I print Etsy postage labels on a normal printer?

Yes. Royal Mail Click & Drop offers an A4 label format, and you can trim the label and tape it on. A thermal printer pays off once cutting and taping eat into your making time.

Is plastic-free packaging worth the extra cost?

Many Etsy buyers choose handmade partly for its lower impact, and a plastic bubble mailer jars with that. Paper bags, tissue and honeycomb paper wrap cost a little more and fit the shop’s story.

How do I post fragile ceramics and glass?

Wrap the piece in honeycomb paper, stand it in a box with at least 5 cm of padding on every side, and shake the closed box. If anything moves, add more wrap before you seal it.

Should I add a handwritten note?

A short note with the buyer’s name takes seconds at 20 orders a week and buyers often mention it in reviews. Past 40, a printed card with a signature keeps the touch without slowing you down.

Which courier suits small handmade parcels?

Royal Mail covers most small Etsy parcels and lets buyers track them. Check InPost and DPD for heavier boxes, and Evri if price matters more than speed. Compare each service’s current size and weight guide before you set shipping profiles.
