# Reseller storage ideas: organise 300 vintage items

> A numbering system, two rails and a shelf that let you find any sold vintage piece in under a minute, even at 300 items.

Updated 5 October 2026

At three hundred vintage pieces, you can no longer hold every location in your head. You sell a 90s windbreaker on a Tuesday and spend twenty minutes pulling apart a pile to find it. At ten sales a week, that search eats more than three hours.

Set up one spare room so every piece has a code, a place and a listing that points to both: rails for things that crease, tubs for things that fold and a shelf for packing.

## Give every item a code before it is listed

Use a short code: a letter for the location and a number for the item. R1-045 means rail one, item 45. T3-012 means tub three, item 12. Write it on a swing tag or a strip of masking tape inside the collar.

Put the same code at the end of the listing title or in a private note field if your platform has one. Once it sells, read the code and walk straight to it.

## Hang what creases, fold what does not

Coats, blazers, dresses and shirts go on a heavy-duty double rail, typically £35–60. Two rails hold roughly 150 hangers between them if you use slim hangers. Keep them in code order so R1-045 is always between 044 and 046.

Knitwear, denim, T-shirts and sweatshirts fold into clear stackable tubs. A four pack of 32 L tubs is typically £30–45. Label each tub on two sides so you can read it whether it sits on the shelf or the floor.

## Put the tubs on a steel shelf

A 180 cm five-tier steel shelf, typically £40–70, holds eight to ten tubs plus a packing shelf. Keep the heaviest tubs low. Leave the waist-height shelf clear for packing supplies so you do not bend for every order.

Do not stack tubs more than two high on the floor. Otherwise you lift the top tub off every time you need the one underneath.

## Mark sold items the moment they sell

When a sale comes in, pull the item and move it to a sold basket by the packing shelf. The rail then holds only what is still for sale, and you won't pack a piece that already went.

Once a week, check the rail against your active listings. Anything on the rail with no listing gets relisted or donated. Anything listed but missing is a problem to fix that day.

## Pack vintage so it arrives looking cared for

Fold the piece around a sheet of acid-free tissue, then slide it into a recyclable paper mailing bag. A 100 pack of tissue is typically £7–11 and paper bags are typically £18–28 per 100. Heavier coats may need a box instead.

Weigh each parcel on a 30 kg scale, typically £12–20, before printing the label. Vintage coats are often heavier than they look.

## Add new stock without breaking the system

Put new buys in an intake tub before they reach the rail. Clean, photograph, measure and code them in one session, then put them away in code order.

Retire each code once it sells. The R1-045 gap stays until you reorganise the rail at the end of the month, so an old listing can't point at the wrong jacket.

## Checklist

- [ ] Choose a code format: location letter plus item number
- [ ] Tag every item and add the code to its listing
- [ ] Hang creasable pieces on rails in code order
- [ ] Fold the rest into labelled clear tubs on the shelf
- [ ] Set up a sold basket next to the packing shelf
- [ ] Keep an intake tub for unprocessed new stock
- [ ] Check rails against active listings once a week

## Kit for this

- **[Heavy-duty double clothes rail](https://sellersetups.com/product/clothes-rail)** (£35 to £60): Hanging stock stays uncreased, so it photographs and ships without ironing. A double rail fits along one wall of a spare bedroom.
- **[5-tier steel shelving, 180 cm](https://sellersetups.com/product/shelving-unit)** (£40 to £70): Floor space runs out before height does. Number the shelves and each item gets an address you can pick from.
- **[Clear stackable 32 L tubs, 4 pack](https://sellersetups.com/product/clear-storage-tubs)** (£30 to £45): Label each tub with a shelf code and record the code against the listing. A sale then tells you which tub to open.
- **[Recyclable paper mailing bags, 100 pack](https://sellersetups.com/product/paper-mailing-bags)** (£18 to £28): Costs about twice as much per bag as grey poly, and buyers notice the paper. It suits vintage and handmade shops that sell on character.
- **[Acid-free tissue paper, 100 sheets](https://sellersetups.com/product/tissue-paper)** (£7 to £11): A sheet of tissue costs pennies and changes how a £15 vintage shirt feels on arrival. Buyers mention it in reviews.
- **[30 kg digital postal scale](https://sellersetups.com/product/parcel-scale-30kg)** (£12 to £20): Covers the parcels most home sellers ship, up to 30 kg. Choose it when the 40 kg scale is out of stock.

## Setups

- [Spare-bedroom setup for a Vinted clothing seller](https://sellersetups.com/setups/vinted-vintage-spare-room): Rails, a packing table and a photo corner that let one person list, store and post 40 to 80 vintage garments a week.

## Questions

### How many clothes fit on one rail?

It depends on the hangers and the garments. Slim hangers and lighter pieces fit far more than coats on wooden hangers. Count yours after the first fill and plan the second rail from that.

### Should I hang or fold vintage denim?

Fold it. Denim does not crease badly and takes a lot of rail space. Tubs work well, sorted by waist size.

### Where do I put the item code on the listing?

At the end of the title or in a private note field if the platform has one. Keep it short so buyers barely notice it.

### Do I need a spreadsheet as well?

Not at 300 items if the codes are on the listings. A spreadsheet helps once you sell across several platforms at once.

### How do I stop moth damage in storage?

Store only clean pieces, keep tubs closed and check wool items each month. Cedar blocks in tubs are a common low-cost habit.

### Can this work in a bedroom rather than a spare room?

Yes, with one rail and fewer tubs. The codes work the same in a bedroom; you hold less stock.
